Professional Services Firm Scales Personalized Sales Outreach With an AI-Enabled System

For a professional services firm, good sales outreach came down to a few things: understanding what was happening at a prospect’s company, finding a relevant example from the firm’s past work, and reaching out with a message that felt timely and personal.

The sales team had a process that worked, but maintaining consistency was tough as prospects grew. Research was time-consuming, and follow-up depended on individual habits. Some kept detailed Salesforce records, others used Outlook. Promising conversations often got lost without timely reconnects.

Instead of adding a new sales platform or asking the team to adopt a new process, SPR built an AI-enabled outreach system around existing tools. It helps sales reps research accounts, draft personalized messages, and track follow-ups, while leaving final decisions to relationship owners.

The Challenge: Making a Strong Sales Process Easier to Repeat

The firm’s sales representatives had developed a thoughtful approach to prospecting. Instead of sending generic emails, they looked for something happening at a target company and connected it to relevant work the firm had done for another client. The messages were short and specific. If the timing was not right, the representative stayed in touch, usually checking back every 8 to 12 weeks until a new need came up.

The approach was sound; it was just difficult to maintain at scale. Research and personalization required a lot of manual work. Much of the knowledge about how to approach a prospect lived with the individual representative. Salesforce activity was inconsistent across the team, so it did not always provide a complete picture of what was happening. And with long sales cycles, follow-up was easy to miss. A representative might send a strong first message and then lose track of when to reach out again.

SPR saw an opportunity to use AI for more than drafting emails. The goal was to make the firm's existing sales process easier to follow and easier to repeat.

Designing Around the Way Sales Representatives Already Work

A key decision was not to make the sales team change everything about how they worked. SPR designed the system around Outlook and Salesforce, the tools representatives were already using.

Each salesperson received a dedicated Claude workspace based on a standard firm template. The workspaces were tailored to each representative, but they followed the same basic structure and governance rules.

Each workspace included information about the representative’s role, writing style, and work preferences. It also tracked account and outreach history, so the representative did not have to start from scratch each time.

The workspace was connected to the firm’s SharePoint knowledge base, giving the AI access to approved information and verified examples of client work. This made it easier to find a relevant example without relying on memory or manually searching through files. The result was an assistant with enough context to be useful from the start.

Turning the Sales Playbook Into an AI Skill

SPR also turned the outreach process into a governed Claude skill that could be used across the sales team. The skill supports work from account research through outreach and follow-up. It can create account briefs, suggest approaches for warm, cold, and very cold prospects, follow a defined outreach cadence, and help representatives write short, natural messages.

The point was not to produce a large volume of generic AI-written sales copy. The system uses the firm’s SharePoint content to connect a prospect’s needs and current business activity to the firm’s actual work. Governance rules help prevent unsupported client examples or invented claims from appearing in a message. Representatives still review every draft before sending it. AI speeds up the preparation. The representative remains responsible for the relationship and the final message.

Moving From Research to Personalized Drafts in Outlook

The system also removes much of the repetitive work involved in preparing outreach. Using the outreach skill, representatives can generate batches of 50 to 150 personalized emails directly in their Outlook Drafts folder. The drafts include the representative's signature and the information needed for CRM logging, so the rep can review, edit, and send them without moving between several systems.

Work that once took hours of research, drafting, and copying information can now be completed in minutes. The representative still decides what to send, while AI handles much of the legwork.

Making Follow-Up Part of the System

A good first message was only part of the challenge. The firm also needed a dependable way to stay in touch during the months that might pass before a prospect was ready to engage.

SPR split that work between Salesforce and an AI-maintained outreach tracker. When a representative sends an email, the activity is automatically logged in Salesforce through the firm’s existing email integration. A Salesforce Flow then creates the next follow-up task, bringing the contact back to the representative’s attention at the appropriate time without requiring manual CRM entry.

The AI-maintained tracker keeps the broader context of the relationship, including previous messages and what should happen next. The two systems serve different purposes. Salesforce records the activity and manages the follow-up task. The AI workspace preserves the context needed for the next conversation.

Together, they make follow-up more reliable without asking representatives to remember every interaction themselves.

Results: Personalized Outreach at a More Practical Scale

The AI-enabled system turned a sales process that depended heavily on individual effort into one the broader team can use consistently.

  • New Rep Workspaces Can Be Set Up in Minutes: A standard workspace template makes it easier to onboard new representatives while still giving each person personalized context, writing guidance and account history.
  • Institutional Knowledge Is Easier to Find and Use: The connection to SharePoint helps representatives draw from verified client work when preparing outreach instead of relying only on memory or searching for examples manually.
  • Representatives Still Make the Final Call: AI helps with research and drafting, but representatives review and approve every message. Governance rules also help keep client examples and supporting information tied to approved firm content.

Supporting the Sales Process Without Replacing It

The project points to a practical approach to enterprise AI adoption. AI does not always need to replace existing systems or require employees to learn an entirely new way of working. In this case, SPR used AI and automation to support a sales process the team already understood and trusted.

The sales strategy stayed the same. Representatives continued working in Outlook. Salesforce remained the system of record. The biggest changes happened between those tools: research became easier to scale, relevant firm knowledge was easier to access, personalized drafts took less time to prepare and follow-up became less dependent on memory. For the firm, AI became part of the sales process rather than another system sitting beside it.
